Accounting and Documentation

Accounts Management

Monthly or periodic accounting, reconciliations and management summaries for small businesses, startups and companies.

  • Accounting and Documentation
  • Monthly work is usually completed within 7–15 working days after the period ends, once documents are received*

About Accounts Management

Many small businesses only look at their accounts when a return is due or an auditor asks for them. By then, entries are missing, bank balances do not match and the year-end close takes far longer than it should. Keeping accounts up to date every month makes tax filings, loan applications and business decisions much easier.

We maintain your accounts on a monthly or other agreed periodic basis, reconcile bank, GST and party ledgers, and share a short summary of how the business is doing. At year end, we prepare the working papers and coordinate with your statutory auditor. We do not carry out the statutory audit ourselves; that is done by an independent practising Chartered Accountant.

Who Needs This Service

  • Proprietors and partnership firms that want their books kept current through the year
  • Private limited companies and LLPs with statutory audit and annual filing requirements
  • Startups that need clean numbers for investors, banks or grant applications
  • Businesses registered under GST that need their books to match their returns
  • Owners who currently depend on a part-time accountant and want a more structured process
  • Businesses moving from spreadsheets to accounting software

Key Benefits

Books kept current

Transactions are recorded every month, so figures are ready when you need them rather than rebuilt at year end.

Regular reconciliations

Bank, cash, GST and key party balances are checked against source records so differences are found early.

Simple MIS summaries

A short periodic summary of sales, expenses, receivables and payables helps you see where the business stands.

Smoother year-end close

Schedules and working papers are prepared in advance, which makes coordination with your statutory auditor easier.

Eligibility and Applicability

  • Businesses required to maintain books of account under the Income-tax Act, based on the applicable turnover or income conditions
  • Companies and LLPs, which are generally required to maintain books of account under the Companies Act or the LLP Act
  • Businesses registered under GST, which are expected to keep records that support the returns they file
  • Any business that wants reliable figures for planning, funding or tax purposes, even where formal books are not mandatory

Record-keeping requirements depend on the type of entity, turnover and the laws that apply to it, and thresholds can change. We confirm what applies to your business when we begin.

Documents Commonly Required

Business details

  • Constitution documents, such as partnership deed, certificate of incorporation or LLP agreement
  • GST registration certificate, where applicable
  • Previous year's financial statements and closing trial balance

Periodic records

  • Bank statements for all business accounts
  • Sales invoices and purchase bills
  • Expense vouchers and receipts
  • Payroll summary, if salaries are paid
  • Loan statements and asset purchase invoices

Access and coordination

  • Read or data-entry access to your accounting software, where you already use one (shared securely after onboarding)
  • Contact details of your statutory auditor, if one is appointed

Document requirements may vary depending on applicant type, location and applicable regulations. We confirm the exact list for your case before you share anything.

Step-by-Step Process

  1. Understand your business

We learn how you invoice, pay and collect, and agree the reporting frequency and scope.

  2. Set up or review books

We set up the chart of accounts or review your existing books and bring pending entries up to date.

  3. Periodic accounting

Each month or agreed period, we record transactions from the documents you share.

  4. Reconcile and report

We reconcile bank, GST and key party balances and share a short summary with open points for your review.

  5. Year-end support

We prepare year-end schedules and working papers and coordinate with your statutory auditor for the audit they conduct.

Estimated Timeline and Fees

Estimated timeline

Monthly work is usually completed within 7–15 working days after the period ends, once documents are received

The first month can take longer if past entries need to be brought up to date. Timelines depend on transaction volume and how quickly documents are shared.

Professional fee

Our professional fee is usually a recurring monthly or quarterly amount based on transaction volume, number of bank accounts and reporting needs. You receive a written quote before we begin.

Government fees and charges

There is no government fee for maintaining accounts. Statutory audit fees are charged separately by the independent auditor, and any software subscription is a separate cost.

* Timelines are indicative. They can change because of document verification, queries raised by the authority and government processing times, which are outside our control. Approval is decided by the relevant authority under applicable rules.

Common Mistakes to Avoid

  • Leaving months of entries to be recorded just before a return or audit deadline
  • Mixing personal and business transactions in the same bank account
  • Not reconciling GST input credit in the books with the credit shown on the GST portal
  • Recording cash expenses without any supporting bill or voucher
  • Not following up on long-outstanding receivables and payables shown in the books

Frequently Asked Questions

Do you conduct the statutory audit as well?

No. A statutory audit must be carried out by an independent practising Chartered Accountant. We maintain your accounts, prepare schedules and coordinate with your auditor, but we do not audit the accounts we prepare.

Which accounting software do you use?

We can generally work with commonly used accounting software. If you already use one, we usually continue with it so your history stays in one place.

Can you bring old, incomplete books up to date?

Yes, where supporting records are available. Catch-up work is usually quoted separately from the regular monthly service because it depends on how much is pending.

What does the MIS summary include?

It is typically a short overview of sales, major expenses, bank balances, receivables and payables for the period. The format can be adjusted to what you find useful.
